CAO 157 – INTRODUCTION TO E-MAIL AND
CALENDARING SOFTWARE

 Course Description:  This course uses Microsoft Outlook 2002, which is a messaging and personal information management software.  Students will learn the different components of Outlook:  address book, contacts, inbox, journal, notes, and tasks.  Additionally, the course will cover how to use the calendar to track appointments, events, manage meetings and how to use Outlook with other applications.

 Course Objectives:  Upon completion of this course, the successful student will be able to:
navigate Outlook; perform basic Outlook tasks including sending and receiving e-mail, receiving and responding to e-mail, and printing e-mail; create a personal address book and distribution list; customize messages; send and receive attachments; compose and organize notes; organize and assign tasks; schedule personal events as well as meetings with the calendar feature; set up and work with contacts; manage the inbox, including creating folders, sorting messages, and filtering junk mail; and work with the journal to record and view entries.

 Required Textbook and Materials:

bullet Microsoft Outlook 2002, by Robin M. Romer: Course Technology Thompson Learning,  ISBN 0-619-04465-9
bullet Two computer disks, 3 ˝” high-density disks or one USB drive—to copy data files and also save your documents.

 Attendance:  Regular attendance is expected.  The in-class exercises, lectures, and discussions are essential for you to fully develop your Outlook skills.  Please call me if you must be absent and leave a message on my voice mail.  If you are absent for two weeks or more and have not called you may be dropped from the class.  There will be no make-up quizzes except in the event of an emergency or illness, in which case the student must contact the instructor before the quiz is given.

Homework Assignment:  Homework assignments are designed to reinforce the learning that takes place in the classroom.  Students are expected to spend several hours per week outside of class working on hands-on homework assignments.  These assignments should be completed in the D120 computer lab or off-campus if students have access to computers and software.  Homework assignments must be turned in to the instructor at the beginning of class on the due date.  Late assignments will not be accepted, except in the event of an emergency.

 Grading:  Final grades will be determined by points earned on homework assignments, quizzes, and the final exam.  Course points will be distributed as follows:

= 110-99 pts.
Quizzes 20 pts.

            B

= 98 - 88 pts.
Final Exam 40 pts.             C = 87 - 77 pts.
Total Points 110 pts.             D = 76 - 66 pts.
            F = Below 66 pts.

 OUTLINE OF TOPICS

(This is a tentative list, which may be adapted to class/student needs) 

Tutorial 1 – Communicating by E-mail:  exploring Outlook, sending e-mail messages, using a personal address book, receiving and responding to e-mail, customizing messages, and working with attachments.

Tutorial 2 – Scheduling in Outlook:  taking notes, compiling a to-do list, organizing your tasks, assigning a task, scheduling a calendar, and planning a meeting.

Tutorial 3 – Managing Contacts:  setting up contact information, suing different contact views, sending contact information to others, working with contacts, organizing contacts, and creating a Word mail merge from Outlook.

Tutorial 4 – Managing Your Inbox:  flagging messages, setting message options, organizing your inbox, rearranging messages, archiving messages, and refusing junk mail.

Tutorial 5 – Integrating Outlook with Other Programs:  recording activities in the journal, creating e-mail with Office applications, importing and exporting files, and reviewing journal entries.
